At Vertex Education, we change lives through education! As the Director of Enrollment & Attendance Services, you will lead the standardization, scaling, and continuous improvement of Enrollment and Attendance operations across a network of 30 K–8 charter schools. Your leadership ensures consistent, compliant, and high-quality service delivery, ultimately enabling student success!
Key Responsibilities:
1. Service Architecture & Standards
- Define, develop and maintain a comprehensive catalog of enrollment and attendance services, including SOPs, templates, checklists, and audit protocols.
- Build and maintain a centralized knowledge base that supports consistent enrollment and attendance operations
- Establish clear Service Level Agreements (SLAs) for enrollment and attendance services across the network.
- Lead the implementation of scalable and automated solutions that enable registration performance and reduce manual effort and error rates.
2. Service Delivery
- Guide and support campus leaders and registrars in successfully implementing enrollment and attendance standards and achieving defined service levels.
- Act as an escalation point for School Operations with enrollment gaps, process questions or vendor relationships.
- Drive successful execution of network-wide projects, operational roll-outs, and vendor transitions once platforms or tools have been selected by senior leadership
- Manage the full lifecycle of vendor relationships and contracts for schools (selection support, onboarding, performance reviews, contract renewals, transitions).
3. Quality Assurance, Compliance, & Risk
- Develop and implement a network attendance and enrollment quality assurance and compliance framework with clear audit scope, frequency, criteria, and escalation procedures
- Monitor and manage regulatory changes with attendance and ensure state-specific guidance and risk mitigation strategies are implemented with school leaders.
- Analyze compliance incidents, non-compliance trends, and risks; implement corrective action plans and continuous improvement initiatives.
- Establish proactive risk management practices to identify, mitigate, and communicate emerging operational risks for school enrollment, attendance issues, or data privacy.
4. Continuous Improvement
- Define and track operational KPIs and collaborate with Business Intelligence to create dashboards to measure school and network registration and attendance performance
- Conduct routine data analyses to identify trends, uncover root causes of underperformance, and proactively develop corrective actions.
- Facilitate regular data reviews, retrospectives, and Kaizen events to uncover root causes and drive continuous improvements.
- Communicate performance insights and improvement priorities regularly to leadership and stakeholders, ensuring alignment and transparency.
5. Stakeholder Enablement
- Design and implement onboarding and continuous training programs for registrars; create virtual trainings to reduce ramp up time for new staff.
- Provide ongoing advisory and coaching support to school operations leaders and teams to address complex operational challenges and embed best practices.
- Lead change management, stakeholder engagement, and communication strategies associated with operational changes, roll-outs, and new initiatives to ensure successful adoption.
- Build and sustain strong relationships with internal stakeholders to foster collaboration, alignment, and continuous feedback for improvement.
Qualifications:
Education and Experience:
- Bachelor’s degree in education, business administration, or a related field; advanced degree preferred.
- 5+ years of experience in business driving strategy, operational efficiencies, and continuous improvement.
- Experience with enrollment, registrar services, or K-12 education preferred.
- Proven experience managing teams and driving organizational goals in a fast-paced environment.
- Certifications in Lean Six Sigma preferred (i.e. Green Belt or Black Belt, Change Management).
Skills and Competencies:
- Strong strategic thinker with the ability to analyze data and develop actionable insights.
- Exceptional communication and interpersonal skills, with the ability to build relationships with diverse stakeholders.
- Proficient in learning new systems such as student information systems (SIS), customer relationship management (CRM) tools, and Microsoft Office Suite.
- Highly organized with a strong attention to detail and the ability to prioritize competing deadlines.
